Privacy Policy

This Privacy Policy explains how Business Meeting (“we”, “us”) collect, use, and share information when you use our website and application (the “Service”).

1. Information we collect

• Access requests: name, email, church name, and any message you send from the home page.
• Accounts: name, email, hashed password, Apple’s user identifier when you Sign in with Apple, and whether the account is an Owner.
• Church records you enter: organization name, member names, family relationships (Head, Spouse, Child), positions, seats and term years, meetings, nominations, vote counts, and related results.
• Pre-meeting nominations: if a church shares a draft-meeting nomination link, visitors may enter a first and last name for a committee. We match that against the church roster or queue it for the operator. The public page does not list the roster or other nominees.
• Roster sync: if a church admin connects schedule.church, we store the API token they paste (encrypted; we do not show it again) and import member names, whether they are listed as a member, and household grouping with Head/Spouse/Child roles. We do not import addresses or household names. Disconnecting deletes the token. Names already imported stay until you edit or delete them.
• Technical: session cookies and server logs needed to keep you signed in and operate the Service. We also keep a daily count of visits to the public home page (a number only — no IP, device id, or tracking cookie).

2. How we use it

We use this information to set up churches, authenticate users, sync a roster when you ask, run meetings, drive the projector, generate results PDFs, count public home page visits, provide support, and protect the Service.

3. Who can see it

• Church administrators see only the church or churches assigned to them.
• The Service Owner can access every church in order to operate and support the Service.
• Anyone present for a projected meeting, and anyone who has a projector or results-PDF link, can see the names and vote information on that display.
• If you Sign in with Apple, Apple authenticates you. We receive an identifier and (when Apple provides it) an email so we can match your existing account. We do not create accounts this way.
• If you connect schedule.church, we send that token to schedule.church to fetch households. They handle that request under their own terms. We do not send them your meetings, nominations, or votes.

We do not sell your information.

4. Projector and shared files

The projector page is reachable by anyone with its link. A results PDF you download or share leaves the Service under your control. Treat those as public to whoever you show them to. They are not a secret ballot.

5. Retention and deletion

We keep information while a church uses the Service, and in backups and logs as needed for security and legal obligations. Church admins can delete their own login from Profile; that removes their account and detaches them from churches but does not delete church records. Church admins can also request deletion of a church; the Service Owner reviews those requests and deletes the church when appropriate. If you ask us to delete an account or a church, we will do so within a reasonable time except where we must retain records.

6. Your choices

Church administrators can edit roster and meeting data, and connect or disconnect roster sync, in the Service. Delete your own account from Profile. Request church deletion from Settings. To change an account email or ask what we hold, use the home page form or the email address we used when your church was set up.

7. Children

The Service is for church administrators. If you enter or import names of minors (for example a youth committee or a household child), you are responsible for having the right to do so.

8. Where it is processed

The Service may be hosted outside your province or country. By using it, you agree to that processing.

9. Changes

We may update this Policy by posting a new version on this page. The effective date above will change when we do.
